Scheduling Campaigns

Scheduling is where a broadcast becomes a campaign: you choose who receives it, which pool it goes out through, when it starts and how it's tracked. You create campaigns under Actions → Schedule and follow them under Campaigns → Scheduled Campaigns.

Before you schedule​

You need:

  • An Active sending domain. Sender addresses are only offered on Active domains. See Sending Domains.
  • A contact list with contacts, whose sender details use that domain. See Contact Lists.
  • A broadcast: the email itself. See Broadcasts.
  • A pool to send through. On plans with dedicated IPs, it's worth keeping a pool for marketing email. See Dedicated Pools.

The four steps​

Go to Actions → Schedule. The page is titled Schedule a Campaign, and the form has four steps. Click Continue to move on and Back to return to a step.

Step 1: Campaign Type​

Campaign Name and Campaign Type​

  • Campaign Name (required): a name that identifies the campaign on the Scheduled Campaigns and Statistics pages. Recipients don't see it.

Recipients​

Under Campaign Type: Recipients, choose Contact Lists or Segments.

Contact Lists sends to every contact on the lists you tick:

  • Lists are grouped as they are under Lists, with the number of contacts in brackets. Tick a group to tick all of its lists.
  • Type in Search a list to find one, and switch on Show selected to see only the lists you've ticked.
  • A contact on more than one of the ticked lists receives the campaign once.
  • Some lists are greyed out and can't be ticked: lists with no contacts, lists that have been blocked, and lists whose sender email isn't on an Active sending domain. Those show Missing sending domain and a Fix Now link that opens the list's settings. See Contact Lists.

Segments sends to the contacts who match the segments you tick. The number after each segment is its last count; click the refresh icon under the list to count again. See Segments.

Sender details for segments

A segment can span several lists, so a segment campaign can't take its sender details from a list. When you choose Segments, the From Contact List option in step 4 disappears and you enter the sender details yourself under Custom.

Target audience filters​

With Contact Lists, switch on Target audience filters to send to only some of the contacts on those lists. Each rule has a field, a condition and a value, for example Confirmation status is Confirmed. Click Add New for another rule, or the × button to remove one.

You can filter on contact details such as Status, Subscription status, Confirmation status, Spam status, Content format, Creation date, Bounce status and Email, and on your custom fields. The rules work like the rules of a segment. Filters aren't offered for segment campaigns, because a segment is already a set of rules.

Step 2: Broadcasts​

Tick the broadcast to send. Broadcasts are grouped by broadcast group; Search a broadcast, Show selected and Select all work as in step 1.

If you tick more than one broadcast, each contact receives one of them, and the broadcasts are shared out across your recipients. That's a quick way to vary content. To measure which version performs better, use a split test instead.

If you have no broadcasts yet, the step says No broadcast found. with a Create one here link.

Step 3: Sending Nodes​

This step keeps the name Sending Nodes, but in Mumara ONE the entries in it are your pools: your Dedicated Pools and any shared pools on your account, listed by name under a group heading. Tick at least one; if you don't, you'll see Select a sending node.

  • Only pools you can currently send through are offered. Pools that are Inactive, still under review, or disabled for your account are left out.
  • Search a sending node, Show selected and Select all work as in step 1.
  • A pool may show a small badge with its hourly sending rate. A badge marked per-email means that pool sends one message at a time; if you tick it, a notice explains that the whole campaign then sends one email at a time and that batch sending is switched off.

Sending Mode​

Sending Mode matters when you tick more than one pool:

Sending Node Selection​

With Batches, Sending Node Selection decides which pool takes the next batch:

  • Sequential: the pools take turns in order.
  • Random (the default): each batch goes to a pool picked at random.

Step 4: Settings​

When to send​

For an evergreen campaign this part of the step shows Repetition Interval instead. See Evergreen Campaigns.

Threads and hourly speed​

  • Threads sets how many workers send the campaign in parallel. More threads send faster. It appears when your plan allows more than one thread, and your plan sets the maximum.
  • Hourly speed limits how many emails the campaign sends per hour, spreading them evenly over each hour. Switch it on and enter the number. Leave it off to send as fast as your plan and pools allow. This is useful when you're warming up new IPs or don't want a flood of replies or website visits at once.

Tracking and contact handling​

Insert Unsubscribe LinkAdds an unsubscribe link at the end of every email. Keep it on unless your broadcast already contains one. If it's greyed out with Force Enabled, Mumara ONE requires it and it can't be switched off.
Track OpensRecords when recipients open the email. On by default.
Track ClicksRecords clicks on the links in the email. On by default.
Double-check duplicatesDuplicate addresses are already removed when the campaign is prepared, so you can leave this off. Switching it on adds an extra, exhaustive check against the lists, which makes preparation noticeably slower on large lists.
Skip unconfirmedLeaves out contacts whose subscription hasn't been confirmed. On by default. Not every account shows this switch; where it's hidden, unconfirmed contacts are always skipped.

List-Unsubscribe header​

Switch on Add List-Unsubscribe header so mailbox providers such as Gmail and Yahoo can show their own Unsubscribe button next to your email. Two options appear under it:

  • Unsubscribe Link: puts your unsubscribe link in the header, together with the one-click unsubscribe header that Gmail and Yahoo look for.
  • Unsubscribe Email: adds an email address that recipients can write to in order to unsubscribe. Enter the address in the box below. Requests sent to it go to that mailbox and aren't processed automatically, so leave this off unless you handle them.

Keep Unsubscribe Link on. The link is served from your sending domain's tracking domain, so check that it's verified and uses a secure URL. See One-click unsubscribe.

Google Analytics (UTM)​

If Google Analytics link tagging is set up for your account, a Google Analytics (UTM) switch appears after Track Clicks. Leave it off to tag this campaign's links with your account's UTM defaults. Switch it on to set utm_source, utm_medium, utm_campaign, utm_content and utm_term for this campaign only; the boxes start filled with your defaults. See Google Analytics.

Sender Information​

Sender Information decides where the From name, From address and reply-to address come from.

OptionSender details used
From Contact ListEach contact gets the sender details of the list they're on. To use one name for the whole campaign, switch on Overwrite sender name and type the Sender Name.
CustomThe details you enter here: Sender Name, Sender Email and Reply-to Email.

For Sender Email, type the part before the @ and pick one of your sending domains. Active domains are listed under Eligible Domains. Domains that aren't ready are listed under Ineligible Domains with the reason, such as pending authentication, and can't be chosen.

No "From Sending Node" and no bounce address

In the self-hosted edition, a campaign can take its sender details from the sending server. Mumara ONE doesn't offer that option: your pools don't carry sender details, so they always come from your contact list or from what you enter here. There's also no Bounce Email field: Mumara ONE sets the return path and processes bounces for you.

Override subject line​

Switch on Override subject line and type a new subject to use for this campaign instead of the broadcast's own subject. The broadcast itself doesn't change.

Send Test Preview​

Under Send Test Preview, enter an address in Email Address and click the paper-plane button to send yourself a test with this campaign's settings.

Previews don't personalize

A preview doesn't fill in variables such as first name, last name, the web version link or the unsubscribe link. Check personalization by sending to a small test list of your own.

Submit​

Click Submit. You're taken to Scheduled Campaigns, where the campaign appears straight away.

If there's nobody to send to, you'll see Oops with Error: There are no contacts in the selected audience. or Error: No contact list has been selected. Click Reschedule to go back to step 1 and change the recipients. Suppressed, unsubscribed, hard-bounced and inactive contacts are never counted, and neither are unconfirmed contacts when Skip unconfirmed is on.

The Scheduled Campaigns page​

Go to Campaigns → Scheduled Campaigns to follow your campaigns. Schedule a Campaign opens the form described above.

Use the options above the table to narrow the list:

  • All, Email Campaigns (sent to lists), Segmented Campaigns, Split Tests and Evergreen Campaigns. Each run of an evergreen campaign appears here as a campaign of its own.
  • The status filter: Scheduled, Running, Completed, Paused, Prepared, Resumed, Stuck or All. The list has two Paused entries; the second shows the campaigns Mumara ONE paused itself (System paused).
  • Auto-refresh: on by default, it updates campaigns that are preparing or sending every few seconds.

ProgressEmails sent out of the audience, and the percentage. While a campaign is sending or paused, a server badge such as 2/2 also shows how many of its pools are active; hover over it to see each pool's state.

If a note above the table says that statistics older than a number of days are deleted automatically, download any reports you need to keep before then.

Campaign statuses​

Managing a campaign​

The Actions column shows only the buttons that apply to the campaign's current status. Hover over a button to see its name.

Re-schedule CampaignFinishedOpens the form again with the campaign's settings filled in. See below.

A campaign that stays in Pausing... for a long time gets a second pause button, Pause the campaign forcefully, which stops it at once.

To delete several campaigns, tick them and choose Bulk Actions → Delete. Campaigns that are running have no tick box; pause them first.

Deleting removes the statistics

Deleting a scheduled campaign also deletes its statistics: opens, clicks, bounces and the rest. Download any reports you need first. The broadcast itself isn't affected.

Rescheduling a campaign​

Re-schedule Campaign opens Re-scheduling the campaign: the same four steps, filled in with the finished campaign's settings, and with its name followed by Rescheduled. The campaign type can't be changed. Adjust anything else, such as the lists or the start time, and click Submit.

Rescheduling creates a new campaign with its own statistics. The original campaign and its statistics stay as they are.

When Mumara ONE pauses a campaign​

A campaign shows System paused when Mumara ONE had to stop it. Click the warning icon after its name to see why:

The name of a pool and an errorNone of the campaign's pools could send. If one of its pools fails while others are fine, the campaign carries on through the others and only pauses when none can send. Check the pool under Setup → Dedicated Pools, then resume the campaign with Send Campaign.

A campaign that shows Stopped By Policy was stopped because too many of its emails hard-bounced, which points to an old or purchased list. Clean the list before you send to it again. See Bounces and Complaints.

Stuck campaigns​

Now and then a campaign can stall: it sits in Preparing far longer than it should, or stops sending partway through. Mumara ONE watches for this so a stalled campaign doesn't go unnoticed.

  • Hourly check. Every hour, Mumara ONE looks at campaigns that are preparing, starting or sending, and flags any that have made no sending progress for a long time. The flag is only a notice: it doesn't stop or change the campaign.
  • Banner. When any of your campaigns are flagged, a banner on Scheduled Campaigns says how many appear stuck and need your attention. Click Review stuck campaigns to list them; this applies the Stuck status filter, which you can also pick yourself.
  • Clearing. The flag clears by itself once the campaign makes progress again, or when it finishes, is paused or is deleted.

What you can do with a stuck campaign:

  • Leave it, if you know it's genuinely busy, such as a very large segment that's still preparing.
  • Pause it with Pause Campaign, then resume it with Send Campaign. It carries on from where it stopped.
  • Delete it and schedule it again.

Mumara ONE also restarts, by itself, a campaign whose preparation was interrupted, so most stalls clear without you doing anything. If a campaign stays stuck, contact Mumara support with its ID.

Campaign types​

  • Regular: the normal one-off send described on this page.
  • Split Test: first create the test under Campaigns → Split Tests. Then, in step 1, choose Split Test as the campaign type and pick your test under Split Tests. In step 2, tick the contact lists to send to; segments aren't offered for split tests. While the test runs, the campaign shows Collecting Results, then sends the winner to the rest. See Split Tests.
  • Evergreen: repeats on a schedule. You can create one here by choosing Evergreen, or from Campaigns → Evergreen Campaigns. See Evergreen Campaigns.

Plan limits​

Your plan sets how much marketing email you can send and how fast, how many threads a campaign can use, and how many evergreen campaigns you can have. Campaigns that reach a sending limit are paused; see When Mumara ONE pauses a campaign for resuming them. For what each plan includes, see Mumara ONE pricing.

Good practice​

  • Send a test first, and check it on desktop and mobile. Click every link.
  • Keep the unsubscribe link and the List-Unsubscribe header on. Mailbox providers expect both on bulk email. See Compliance.
  • Leave Skip unconfirmed on unless you're sure every contact asked for your email.
  • Use segments or filters to send relevant content rather than everything to everyone.
  • Slow down new IPs. Use Hourly speed while you warm up a new dedicated IP. See Sending Reputation.
  • Keep marketing on its own pool so it never affects your transactional email.

Troubleshooting​
