Exported Files
Manage all files generated from data exports within the system. This page allows you to view, download, or delete exported files, ensuring efficient storage management and easy access to past exports. Whenever you export contacts, segments, statistics, or other data from Mumara, the generated files appear here for download and management.
Navigate to Tools → Exported Files to manage your export files.
Exported Files List
The main page displays all exported files with filtering options and management controls.
Filtering Options

Controls

| BULK ACTIONS | Dropdown menu that appears when files are selected - provides options to perform actions on multiple selected files at once, such as bulk delete |
Table Columns

| Checkbox | Select individual files for bulk actions - check multiple files to perform operations on all of them at once |
| Name | The name assigned to the exported file - this may be auto-generated based on the export source or custom-named during export |
| Download | Shows the download status and provides the download link - displays a loading spinner while the export is being generated, then shows a green download icon when the file is ready to download |
| Type | Indicates what kind of data was exported - shows values like "Contact list", "Segment", or other export types to help you identify the content |
| Deleting In | Countdown timer showing when the file will be automatically deleted - displays the remaining time in hours:minutes:seconds format (e.g., "47:59:31"), or remains empty if auto-deletion is not scheduled |
| User | The name of the user who created this export - shows which administrator or client user initiated the export operation |
| Creation Date | The exact date and time when the export was created - helps you identify recent exports and correlate them with when you requested the data |
| Actions | Three-dot menu providing additional options for the file - typically includes options to download or delete the individual file |
Download Status Indicators
The Download column shows the current state of each export:

| Loading spinner | The export is still being generated - large exports with many contacts may take time to process, so the spinner indicates work is in progress |
| Green download icon | The export file is ready - click the icon to download the file to your computer |
| No icon / unavailable | The file may have been deleted or encountered an error during generation |
Export Types
Exported files can contain different types of data:

| Contact list | Contacts exported from a specific contact list - contains subscriber data with all selected fields |
| Segment | Contacts exported from a dynamic segment - captures contacts matching the segment criteria at the time of export |
| Email suppression | Exported suppression list entries containing email addresses |
| Domain suppression | Exported domain-level suppression entries |
| Statistics | Campaign performance data and metrics exported for analysis |
Downloading Files
Download Individual File
- Locate the file in the list
- Ensure the Download column shows the green download icon (not a spinner)
- Click the download icon
- The file downloads to your computer's default download location
Download via Actions Menu
- Click the three-dot Actions menu on the file row
- Select Download from the menu options
- The file begins downloading
File Formats
Exported files are typically provided as:

Managing Files
Delete Individual File
- Click the three-dot Actions menu on the file row
- Select Delete
- Confirm the deletion when prompted
- The file is permanently removed
Bulk Delete
- Check the boxes next to files you want to delete
- Click the BULK ACTIONS dropdown
- Select Delete Selected or similar option
- Confirm the bulk deletion
- All selected files are permanently removed
Deleted export files cannot be recovered. Always download files you need before deleting them.
Auto-Deletion
Export files are automatically deleted after a configured retention period to manage server storage.
Understanding the Countdown
The Deleting In column shows a live countdown timer:
- 47:59:31 means the file will be deleted in approximately 48 hours
- The timer counts down in realtime
- When the timer reaches zero, the file is automatically removed
Why Auto-Deletion Exists
- Storage management - Prevents exports from accumulating and filling disk space
- Data hygiene - Removes old exports that are no longer needed
- Security - Limits how long exported data remains on the server
Configuring Retention Period
The auto-deletion timeframe can be configured in application settings. Contact your system administrator or check Settings → Application Settings for retention configuration options.
Best Practices
Timely Downloads
- Download promptly - Don't wait until the last minute before auto-deletion
- Check the countdown - Note when files will be deleted and plan accordingly
- Set reminders - If you need a file but can't download immediately, set a reminder
Organization
- Name exports descriptively - When possible, give exports meaningful names during creation
- Organize downloads - Create a folder structure on your computer for exported files
- Document exports - Keep notes on what each export contains and when it was created
Storage Management
- Delete unneeded files - Remove exports you no longer need to free server space
- Monitor disk usage - Large or frequent exports can consume significant storage
- Schedule large exports - Run big exports during low-traffic periods
Security
- Handle exports securely - Export files may contain sensitive contact data
- Secure local storage - Store downloaded files in protected locations
- Delete after use - Remove local copies when no longer needed
- Follow compliance requirements - Adhere to data protection regulations when handling exported data
Troubleshooting
Export Stuck on Loading Spinner
Possible causes:
- Large dataset taking time to process
- Export job failed in the background
- Queue workers not running
Solutions:
- Wait longer for large exports to complete
- Check Failed Jobs for export-related errors
- Verify Cron Status shows queue workers are active
- Try re-exporting a smaller dataset
File Not Appearing in List
Possible causes:
- Export still processing
- Wrong filter selected (Our records vs User records)
- Export failed before file creation
Solutions:
- Wait for processing to complete
- Switch between "Our records" and "User records" filters
- Check the source page for export error messages
- Review Debug Logs for export failures
Download Not Working
Possible causes:
- File was auto-deleted
- File generation failed
- Browser blocking the download
Solutions:
- Check if file still exists (may have been deleted)
- Try the Actions menu download option
- Check browser download settings and popup blockers
- Try a different browser
"Deleting In" Shows Empty
Possible causes:
- Auto-deletion not configured for this file type
- File was manually created or restored
- System clock or timezone issues
Solutions:
- This may be normal behavior depending on configuration
- Check application settings for retention policies
- The file will remain until manually deleted
